Your new role

In this role, you will be responsible for the provision of administrative, clerical, payroll and financial support to personnel management, units and members of the ADF, within the Training Establishment.

About your role

You will be employed by Randstad on a contract and will work onsite as a member of the Australian Army’s Training Centre Administrative Services team. Your responsibilities will include:

• Provide advice, support and administrative assistance to chain of command;
• Assist with administrative travel and accommodation requirements;
• Liaise with outside stakeholders;
• Provide advice, run reports in PMKeyS, researching and referencing policy as required;
• Assist and manage Objective folders;
• Assist with group email inbox;
• Administer CMS & ACMS transactions.

Contract length & level

The successful candidates will be engaged in a contract with Randstad until January 2023 with a likely extension to January 2025. These positions will be engaged at the APS3 level

The Warehouse Supervisor maintains the integrity & standard of all items/security moving in & out of the Warehouse door and the complete operational standard of the Warehouse storage area.
The role ensures the accurate receival of goods to invoice and distribution of them to Department Managers. Ensures nothing leaves the back dock dishonestly including waste. Temp checks of all perishable items and accurate pallet exchange.

In this role you will be Responsible for:

• Safety First - Correct use of all forklifts, pallet jacks & all other equipment. Also Ensuring compliance with all regulations. All staff using this equipment must be licenced.
• Effective communication with all key stakeholders
• Security of warehouse door & personal access doors in the vicinity– all inwards and all outwards items are checked off including waste. (waste bins locked – doors closed at all times unless deliveries in action)
• Accurate marking off all received goods and the correct delivery of all paperwork to its relevant locations. Following the goods inwards process ( REFSS ) also identifying credits for relevant DM`s. – all stock is to be marked off and signed for.
• Management of the warehouse itself, including rotation and consolidation of pallets.
• Cleanliness including clear aisles, no equipment and rubbish laying around for vermin to harbour in. At the end of every day the warehouse should be neat and tidy.
• Identifying Date Sensitive stock and communicate with the relevant Dept managers to clear.
• Ensure all goods and hazardous chemicals are stored as per work place safety
  requirements
• Organisation and preparation of allocation of space for incoming loads.
• Ensure Food Safety requirements are met at all times
• Maintain equipment in a clean and serviceable condition in accordance with the recommended operating practices including the completion of a weekly safety check
• Maintain loading docks, drive ways, car parks, walk ways etc to a superior standard at all times- swept clean and neat & tidy.
• Ensuring correct operations of all balers
• Undertake all identified training requirements associated with the position

The POS Assistant works along side their Manager to ensure the smooth running of the back office. This includes such duties as product maintenance, the stores ticketing system ensuring all tickets are accurate and up to date at all times, the accurate processing of stores inventory system including receiving and processing of invoices, ensuring order bins are up to date and maintaining the P&L excel file. Working as a team is key in this role.

In this role you will be Responsible for:

• Maintain all budget information for all departments.
• Organise, monitor and ensure the correct ticketing of all products is undertaken for the store as required. This includes all promotional activities and all displays.
• The timely collecting and processing of store hosts accurately. (currently twice daily)
• Co-ordinate all emails/communications to correct departments and follow up as required.
• Daily Comms email to be distributed to relevant parties and have signed off and filed to ensure all tasks have been actioned.
• A thorough understanding of our stocktaking/automatic ordering system. This includes building automatic orders and advising staff of best practice when required.
• Maintenance of PLU links and dead stock reports in relation to inventory management.
• The management of entire stores invoices & inventory as below:
• Ensure every invoice has been signed & verified by relevant DM- Critical
• Understanding of the claims process to ensure inventory counts are accurate.
• The daily updating of all `Non CLICK` invoicing. (same day)
• Scan all Direct invoices to CLICK- ASAP (ideally every two hours max)
• Daily check of scanned invoices to determine which ones are finalised (on CLICK portal)
• Following above- the chasing up (with CLICK) of unfinalised invoices (must be finalised asap for auto ordering/stocktaking purposes) expectation is 24 hrs – max 48.
• The total responsibility of all outdated/overdue order bins and getting them finalised/updated. (get DMs to put their name on their bins)
• Record all invoices on excel P&L and handing to SM Monday morning complete and in order.
• Provide reports to Store Manager including:
  • Special 1’s
  • OFF report
  • Negative QOH report - daily
  • Waste & markdown reports – daily/weekly
  • Sales report- daily/weekly
  • Stock Adjustment reports – daily/weekly
  • Maintain/record and /or co-ordinate the price verification and date checking system for the store
  • Ensure the office is neat, tidy and kept in an organised manner so as to ensure optimum productivity.
  • Identify problems or possible improvements in our activities, services or procedures
  • Other duties as required
